For years the IT industry proclaimed that the paperless office was only a matter of time. But the reality is slightly different: the classic paper file is kept alive in the companies out of habit. A realistic perspective to the paperless office is the office with less paper.
The fact that documents are stored twice or three times seems to be quite normal. That paper consumption continues to rise, despite the increasing use of IT, this will supposedly not change. The regulatory conscious employee prints out the electronically available documents and attaches them to the process. Is this how efficient work looks in the 21st century? At least now the alarm bells should ring for the leaders in the boardrooms of midsize companies, because this way of working is not only inconvenient and untimely, but also extremely cost-intensive.
In recent decades, we focussed on the optimization and streamlining of production processes in order to increase their own competitiveness. This approach was correct and necessary in order to be able to meet the competition from low-wage countries. Now it is time to optimize and streamline the internal office and filing record organization. But first, the barriers in one's thinking must be overcome: The optimization of the work processes in the management does not seem necessary at first glance - after all, "we have always been working like this." With the right organizational concept every company can save resources.
If one bears in mind that investing in a qualified document management system is only a fraction of the savings potential and therefore is amortized within a few months, one wonders why German offices are still organized to a large extent as 20 years ago, and the possibilities of today's office logistics are not being used.
